At Carlile Swim, we are committed to protecting your privacy and ensuring that you are informed about how we manage and keep your personal information safe and secure.

What information do we collect and how?

We will collect personal information that is relevant and required for us to provide our services as a business. This may include your name, date of birth, phone number, address and email address. We may also collect sensitive information, such as health information.

While we collect most personal information directly from you, we may also receive personal information when you fill in an application form, deal with us over the telephone, send us a letter or email, or connect with us online through systems that may collect “cookies.”

For our families, team, and visitors’ safety and security, we also operate a CCTV system which may collect your personal information, i.e. an identifiable image of you. However, we will only collect, store and use your personal information lawfully.

It is up to you how much information you would like to provide. However, if you do not wish to provide certain information requested by us, this may limit our ability to engage with you and adequately provide services and benefits to you.

Why do we collect and use your information?

The purposes for which we collect, store and use your personal information are to:

  • Provide our services and for administrative purposes relating to the provision of those services, including processes involved in onboarding you as a family.
  • Advising you of new important updates in respect of our website, services we offer or changes to those services.
  • Contacting you to respond to your queries or complaints, seeking feedback or to conduct surveys.
  • Improving our marketing and tailoring the information and services we provide to you. Complying with our legal, governance, risk and compliance obligations. Identifying you and assisting you with our services.
  • Processing any enquiry or application by you about a job with us, including pre employment screening.

How do we store and protect your information?

We store most personal information that we collect in computer systems and databases operated by us or our external service providers, such as third-party mail servers and third-party cloud storage providers. We may also store some personal information in paper files, but we ensure that we store this information securely.

We are committed to ensuring that all personal information we receive and collect is secure. To prevent unauthorised access, we have put suitable procedures in place to secure personal information, and protect it from misuse, interference, loss, unauthorised access, modification and disclosure.

  • Contacting you to respond to your queries or complaints, seeking feedback or to conduct surveys.
  • Requiring all team members with access to your information to keep that information secure and comply with any relevant policy or procedure.

What we do to protect children

We believe it is important to provide added protection for children, and we will use all reasonable efforts to only collect personal information about children with the knowledge of and/or permission of parents and guardians.

The way we do this may vary depending on the information, service, or event in which the child wishes to participate. Consent may take a variety of forms, such as printing and submitting a permission form by mail, or online consent, such as by ticking a check box to indicate parental or guardian consent has been obtained. Parents or guardians may, subject to any applicable laws, request that personal information collected from or about their child be deleted.

You can opt out

We currently have many great services and occasionally make changes so they are even better and we will contact you to let you know about any new offer. You can opt out of marketing communications at any time, and you can also choose to opt back in. Just let us know.

Please note that opting out only relates to marketing communications, and we will continue to communicate with you regarding the services we provide your family.

Why do we have CCTV?

We use CCTV to ensure our facilities are safe and secure for our families, team and visitors.

CCTV is used where appropriate for monitoring activities within our facilities, including safety, behaviour, compliance with entry requirements and team feedback and training.

Signs are used to alert families, teams and visitors where CCTV cameras are used at our premises. CCTV cameras themselves will always be clearly visible, not hidden away and will never be in any toilets or changing rooms.

An identifiable recording of you may be collected while you are at our premises; however, this will not be disclosed to any party not associated with Carlile Swim unless authorised by you or required by law. We securely store CCTV footage, and it will only be viewed and accessed by our authorised team.

Accessing and correcting personal information

We will take reasonable steps to ensure the information we hold about you is up to date and correct. If you want to access any of the information we hold about you, please contact:

  • Speak with a friendly team member at our swim schools who will be happy to assist you in person.

After verifying your identity, we will provide details of your personal information promptly unless the law does not permit such disclosure. For example, giving access to your information would have an unreasonable impact on the privacy of other individuals. On the rare occasion that we are unable to meet your request; we will give the reasons why.

Tell us if you are not happy

We understand that you may have queries or concerns about how we manage your personal information. We are committed to collaborating with you to understand your concerns, make enquiries to determine the facts and notify you of the outcome of our enquiries.

How to raise a query or concern about privacy and the process?

  1. Please send an email or letter to us that includes sufficient detail to allow us to make appropriate enquiries regarding the matter. We also request that you include your contact details should we require any additional information or need clarification on any aspect of your concerns, to avoid unnecessary delays.
  2. We will acknowledge your email or letter, commence investigations, and provide an outcome to you in writing, typically in less than 30 days.
  3. Should we require additional time to complete our enquiries, we will provide a new estimate of when we will provide you with an outcome and keep you informed along the way.
